What is Beavers in Tents? (BiT)

It’s a popular night away experience for all invested Cambridgeshire Beavers, leaders (and DBS cleared adult helpers) . One night under canvas with a full, varied, and active programme which includes sessions of backwoods cooking, orienteering, team challenges, campfire, craft and fire lighting.

Why do we do Beavers in Tents?

It’s a great “taster” to encourage even more leaders to consider gaining their Nights Away Permit so they can enjoy loads more camping with their Colony in the future!

When is BiT?

BiT#1  – 6:45pm Friday 19th June through to 11am Saturday 20th June 2026

BiT#2 – 6:45pm Saturday 20th June through to 11am Sunday 21st June 2026

As always, Colonies can either book Fri / Sat or Sat / Sun.

Location:  Copley Scout Centre, St Ives

2026 Cost:

Beavers – £18.50 each; Adults & Young Leaders – £2.50 each

Ratios & DBS (disclosures)

  • The number of adults must be in line with the required ratios. You must have 1 adult to 6 Beavers plus the leader in charge; plus any others required for specific 1:1 care needs
  • Young Leaders are more than welcome to join the camp but cannot be used to make the ratio. On the booking form there will be questions about dietary requirements. Please make sure this is filled out correctly.
  • All adults attending must have a valid Scouting disclosure.
  • All Leaders must be up to date with their Safety and Safeguarding learning modules.

Food

  • All food and activities are provided.
  • Allergies & dietary intolerances: please detail these on the booking form, where possible. We don’t need names but do need to know how many Adults/Young people have dietary needs (e.g. vegetarian, diary free etc). If this isn’t possible, please email David Martin (see below) as soon as possible so the team can try and accommodate the request.

Bookings

  • Send out Permission to camp forms to Beavers/Parents (we don’t need these – you keep them for your records.)
  • You may need to adapt the form for either Friday (BiT#1) or Saturday (BiT#2) and add return dates to suit your needs.
  • Spaces are limited to 12 Beavers (only) per Colony. This so we can enable more Colonies to go camping.
  • When you know how many Beavers, Adults & Young Leaders you will have click on the “Book here” button below.  This will take you to, “Eventbrite, a third-party site that we use to manage the bookings.
  • When adding tickets you do not need to book tickets for the adults. There will be a separate question to let us know the number of adults attending and for you to provide their names.
  • All bookings are on first-come, first-served basis and are only confirmed once full payment has been received via BACS from your Group’s or Colony’s a/c.
  • Until payment is received, your places are not guaranteed and may be re-allocated to those on the reserve list.

Payment

  • Full payment for places reserved is to reach the County’s bank account within 3 working days of booking.
  • Places booked but not paid for in this period, will be reallocated to those on the reserve list.
  • Please do not overbook, as payments made are not refundable unless the event is cancelled by the organiser.
An information Pack is being emailed to all Beaver Section Team Leaders, Group Lead Volunteers, District Programme Team Leaders & Lead Volunteers to publicise the event.

Nights Away Notification (NAN) form

  • Nights Away Notifications must be submitted to your District’s Nights Away Approver digitally via the My Membership system.
  • David Martin is the Nights Away Permit Holder for Beavers In Tents.
  • District Lead Volunteers will be provided with a list of Colonies booked. They will be asked to confirm that approval has been given for your Colony to attend and provide the names of the adults who have been approved to attend/stay over night.

FAQs

Do we need to provide tents?

Yes. You need to bring adequate tentage for your leaders and the Beavers. Boys and girls may share if it’s OK with their parents and them. There is an opportunity to set up tents before Beavers arrive, however, you should bear in mind that we do encourage the Beavers to do it themselves.

Does our Colony need to have its own Nights Away Permit holder?

No. The event is being run under David Martin’s permit, as all District Lead Volunteers are being advised.

Can we come along even if we aren’t bringing any Beavers?

Yes. If you’ve never done anything like this before and you want to get some experience, come and join us, we’ll always find you a job! In this case please contact David Martin.

Will anyone be taking photos or filming the activities?

A. Yes.

  • Organisers will be taking photographs, video and sound recordings for appropriate scouting use (current and future), no names will be used.
  • Adults attending with each booked group must know if this means the faces of any young people attending are not to be photographed, or filmed by the organisers, and make this known when such images are being taken.
  • We have no control over photographs taken by others.
