County Scout Challenge weekend 12-14 Sept. 2025

What? 

The County’s Programme Team is pleased to  confirm that the County Scout Challenge weekend is being re-instated.

Is  your troop is up for a competition weekend packed full of challenges, activities and fun? If so, don’t miss out on this opportunity.

Activities include:

  • Climbing
  • Rafting
  • Shooting
  • other activities (once firmed up)

When?    Friday 12th to Sunday 14th September 2025

  • Friday:    arrivals are expected to be from 4pm **
  • Sunday:  the event is expected to end around  3:30pm **

(** Times are for guidance only at this stage and will be confirmed nearer the event)

Where?

Boyd Campsite & Activity Centre, Church Road, Henlow. SG16 6AN (link to website)

To keep costs down, travel to/from Boyd Campsite is not included and is the responsibility of the troop to organise.

Who? 

  • Members of a Cambridgeshire Scouts troop at the start date of the event.
  • Each Troop can bring multiple teams (of between 4 – 6 “scouts”). The change from just one team should make the event more viable for some troops.
  • The event is limited to around 250 attendees, including leaders.

2025 cost: Scouts: £30 each   Leaders/Adults:  no charge

Ratios & DBS (disclosures and learning)

  • The number of adults must be in line with the required POR ratios.  There must be a minimum of two adults/helpers including the Leader in charge for every 12 Scouts.
  • All Leaders attending must be up to date with their Safety and Safeguarding e-learning modules for the camp.  
  • All adults attending must have a valid Scouting disclosure covering the whole of the event.

Booking a place

All bookings are to be made by the Scout Section Team Leader or a Scout Section Team Member by clicking the button below. This will take you to the Eventbrite booking system which also contains payment and other details that will be emailed once booking has been completed.

  • Obtain the usual permission to camp forms/information from your Scouts’ parents.
  • Once you have these, book your tickets using the button below.  This takes you to the Eventbrite booking system.
  • When adding tickets you do not need to book tickets for the adults. There will be a separate question to let us know the number of adults attending.
  • All bookings are on a “first-come, first-served” basis and are only confirmed once full payment has been received via BACS from your Group’s or Troop’s a/c.
  • Until payment is received, your places are not guaranteed and may be re-allocated to those on the reserve list.
  • If you have already booked one team of Scouts in and now wish to add another, please use the booking button below to register the extra places now needed.

Payment

  • Payment is to reach County within 5 working days of booking.
  • Places booked, but not paid for in this period, will be reallocated to those on the reserve list.

(New) Nights Away Notification (NAN) form

As the NAN process has changed with the introduction of The Scouts’ new digital system, the County has had to change how it collects confirmation of approval for your colony to stay overnight.

  • Use The Scouts new My Membership system to submit your NAN form to your District for approval ideally at least 14 days before the camp, rather than the minimum of 7 days.
  • District Lead Volunteers will be provided with a list of Troops booked. They will be asked to confirm that approval has been given for your troop to attend and provide the names of the adults who have been approved to attend/stay over night.

 Frequently Asked Questions 

Is catering provided?

A. No. Each Troop needs to provide its own catering arrangements.


What tentage and catering equipment do we need to bring?

A. Each Troop needs to have sufficient tentage and  catering equipment for its troop members and attending adults 


Can our troop's young leader attend?

.

Although Young Leaders may attend as part of a troop’s support team, they are not permitted to be a participant in the Troop’s team.

I've booked too many places or need to cancel. Will you adjust the cost or make a refund?

Unless the event is cancelled by the organisers, your Group is liable for the full fee payment for all spaces booked – even if you subsequently decide to cancel or want to reduce the numbers.

Fees are non-refundable unless all event spaces can be filled and the fees collected from another participant.

Our troop team doesn't have its own Nights Away Permit holder. Can we still attend?

A. Whilst, ideally, every troop team will include a Night Away (NA) Permit holder (campsite or greenfield) we realise that this isn’t always possible.

If your troop team doesn’t include a NA Permit holder, you should link with an attending NA Permit holder from another troop in your District who is willing to supervise your pre-event planning and your troop at the camp etc.

The organisers will be able to advise you of other troops attending from your District

Photography & Videography: Will people be taking photography/filming at the event?

Yes, some of the team may be taking taking photos etc. We may also have a member of the County media team looking in.

Troop leaders of each troop must know if this means the faces of any Scouts attending are not to be photographed/videoed by the organisers, and make this known when such images are being taken. The organisers have no control over images taken by others.
